The OPTIMUM Publication Distribution Management Module is designed to manage the very complex distribution processes of newspapers, magazines etc. The system can control and monitor the distribution through outlets, delivery boys and direct to the subscribers. The system stores all data pertaining to the publication, publishers, distribution network, routes, delivery boys, subscribers, cash and credit sales etc.

Parameterized Setup
The setup of the distribution system is based upon user defined parameters. It is extremely detailed and allows as many parameters as possible to be set up in order to map the company production requirement. The distribution Setup compiles the following:
- The distribution details such as geographical area, route, subscription type, distribution frequency, special arrangements for holidays etc.
- Publication details such as publisher information, publication type, frequency, country, and other publication data.
- Customer data such as delivery address, route, cash sales or credit sales, returned items, drivers’ details, delivery boys’ details, outlet details etc.
- Details of the subscription contract such as starting date, ending date, type of payment such as advance payment or credit etc.
User-friendly Data Input
For the successful management of your publication and distribution, the data entry is made possible through user-friendly input screens that are self-explanatory. The OPTIMUM Publication Distribution system will store all the relevant data related to the industry such as the following:
- The publishers’ data consisting of their name, address, contacts, country of origin etc.
- The publications’ details including the Publication Name, Publication Type, Quantity, Last Issue, Price, and Return Days.
The system also produces the Publication History for each Issue, such as sold, returned, damaged or published (received), etc.
Each and every detail of the distribution process are stored in the system such as the route, cash sales, credit sales, returned items, drivers’ details, delivery boys’ details, and outlet details.
The Customer data entry encompasses details such as: the customer profile, contract details with the customer showing the order number, payment type, starting date, ending date, quantity for each day, delivery address for each day etc.

Upon processing the publications OPTIMUM will produce the issue number, quantity printed or received, as well as process the distribution that will allocate the quantity for each route and for each publication.
In addition, OPTIMUM will further process the daily return, cash receipts and the credit invoicing as per the setup, i.e. daily, monthly or yearly. It also handles subscribers accounts with advance payment or credit arrangement. The system monitors the expiration dates of subscriptions and produce reports for the user and send reminders to the subscribers, if set up so.
If the OPTIMUM General Ledger system is linked to the Publication Distribution system, all daily and monthly entries will be posted tot he GL upon the approval of documents.
Customized Data Retrieval
OPTIMUM will produce all the necessary reports for the different processes, such as drivers, delivery boys, outlets, and customers (statement of account, aging, invoicing, subscribers) on online/real-time basis. It provides a powerful inquiry facility with the possibility to scroll down to its basic data components.
In addition, OPTIMUM offers a full set of formatted Distribution/Publication Reports available in the Report Generation Menu, spanning all the types of information being stored.
